Terms of use

Updated 30 October 2026

In short

  • ShopApp is a tool for recording your shop's sales, stock and books. It is not an accounting system and it gives no financial advice.
  • ShopApp is a paid service. A new shop gets the free period we publish and then pays the monthly price we publish, unless we agree a lower price with you. We may change the price, and we tell you at least 30 days before it changes for your shop. How you pay is agreed with us directly and is no part of the app.
  • Payments are not refunded. If you delete your account or your shop, or stop using ShopApp, you get nothing back.
  • Your password is the only lock on your profile. Make it strong, keep it to yourself, and sign out on any device that is not yours.
  • What you enter, and whether your phone has synced, are up to you. Keep your own copy of anything you cannot afford to lose: you can download all of it at any time.
  • The pictures you add must be your own. If one is not, any claim over it is yours to answer, not ours.
  • We can refuse or close a shop at any time. If that is not because of something you did, we refund the full months you paid for and have not used.
  • We are not liable for lost or wrong records, and the most we can ever owe you is what you paid us in the last 12 months.

This is a summary. The sections below are what counts.

1About these terms

These terms are the agreement between you and the people who run ShopApp, published on Google Play as ShopApp Labs ("we", "us"). "ShopApp" means the phone app, the agent app, the account page at accounts.shopapp.biz, the admin console, this website and the servers behind them.

By activating a profile, signing in or using ShopApp in any way, you agree to these terms. If you do not agree, do not use ShopApp.

"You" means the person using ShopApp and the shop they use it for. If you are the shop's admin, you agree for the shop, and you answer for everyone you add to it and for what they do there.

You must be 18 or older, and able to enter into a binding agreement, to use ShopApp.

2Getting the app

The phone app comes from Google Play, and Google's own terms apply to downloading it, as well as these. The computer app, for Windows and Linux, comes from this website.

  • Google is not a party to these terms. It does not answer for ShopApp and it does not support it. We do.
  • Install ShopApp only from Google Play, from this website or from a link we give you. A copy from anywhere else is not ours, and we are not responsible for what it does.
  • Keep the app up to date. An old version may stop working or stop syncing, and we do not have to keep old versions going.

3What ShopApp is, and is not

ShopApp is a tool for recording sales, stock, returns, expenses and other income, and for showing you figures worked out from those records.

  • ShopApp is not an accounting system. It does not keep books of account for tax, audit or company law, and it does not replace an accountant or a bookkeeper.
  • ShopApp is not a financial adviser. Nothing in it is financial, tax, legal or business advice.
  • Every figure, including total sales, profit and what your stock is worth, is an estimate worked out from what was entered. A wrong or missing entry gives a wrong figure.
  • Do not make financial decisions, such as borrowing, investing, pricing, paying tax or buying or selling a business, on ShopApp's figures alone. Check them against your own records and take advice from someone qualified.

ShopApp is not a fiscal device and does not issue fiscal tax invoices. A receipt or an invoice made in ShopApp is a record for you and your customer, and nothing more.

4Your profile

There is no sign up. A ShopApp agent, a ShopApp admin or your shop's admin creates your profile and gives you a username and a six-digit code. You use them once to set your own password.

Your username does not have to be your real name, and we would rather it was not. We never ask for your name, phone number, email address or ID number to give you a profile.

  • Keep your code and your password to yourself. We never ask for your password.
  • One profile is for one person. Do not share it.
  • Everything done on your profile counts as done by you, whether or not you did it.
  • If you think someone else has your password, change it at once, in the app or at accounts.shopapp.biz, and tell us.

The same username and password sign you in at accounts.shopapp.biz, where you can change your password, download your shop's data and delete your account. There is no sign up there and no way to reset a forgotten password. That is done on the phone, with a new code.

With no email address or phone number on file, the only way back into a profile is a new code from your shop's admin or from us. We may ask questions to be sure the shop is yours before we issue one, and we may refuse if we are not sure.

5Paying for ShopApp

ShopApp is a paid service. A new shop gets the free period we publish for new shops and then pays the monthly price we publish, as they stand on the day the shop is set up, unless we agree a lower price with you. Your shop's price is printed on the welcome sheet you are given. How and when to pay is agreed between your shop and us directly. None of it is part of the app, and nothing is bought or paid for inside it.

We may change the price at any time, for new shops and for yours. We tell you at least 30 days before a new price applies to your shop, and it applies only to time paid for after those 30 days. Time you have already paid for keeps the price you paid.

A payment counts once we have recorded it against your shop. Your shop is paid up while it is inside a period we have recorded for it, whether paid for or free.

Payments are not refunded. See "Refunds".

6Refunds

Paying buys the time, whether or not you use it. Payments are not refunded.

You get no refund, in full or in part, if during time you have paid for you:

  • stop using ShopApp, or use it less
  • delete your account
  • delete your shop
  • leave a shop, or are removed from one
  • lose, break or change your phone
  • close, sell or hand over your business
  • change your mind

That holds for any reason. Deleting an account or a shop ends the paid time with it. Nothing is carried over to another shop and nothing is paid out.

The only refunds are the two in "Our right to refuse, hold or close" and "No warranty", which are for when the ending is our doing and not yours. Nothing here takes away a refund the law says you must get.

7When a shop is not paid up

When your shop is no longer paid up, we may make it read only. You can still sign in and look at your records, but you cannot add to them or change them until it is paid up again.

We do not promise to keep the records of a shop that is not paid up. We may delete them at any time after the shop's paid time ends, with or without telling you first. If you want your records kept, stay paid up and keep your own copies.

A shop's admin can delete the shop at any time, from inside the app or at accounts.shopapp.biz. That removes the shop, its records, its photos and the profiles of everyone in it, for good. We cannot bring them back. Download your data first if you want to keep it. Deleting a shop does not bring a refund for time already paid.

While a shop's records are still on our servers, its admin can download them, in the app or at accounts.shopapp.biz, even when the shop is read only. That is not a promise about how long they stay there.

We may make a profile inactive if nobody has signed in to it for 6 months.

8Your records are your job

  • Entering things correctly is your job. ShopApp records what you and the people in your shop enter. We do not check it, correct it or vouch for it.
  • Keeping your phone synced is your job. ShopApp saves to the phone first and sends to our servers when there is a connection. Until a record has synced it exists only on that phone. If the phone is lost, stolen, broken or reset, or the app is removed or its data cleared before then, that record is gone and we cannot get it back.
  • Signing out clears ShopApp's records from the phone. Anything that had not synced is lost. The app warns you first.
  • When the same record is changed on two phones, the change that reaches our servers last is the one kept.
  • Keep your own copy of anything you cannot afford to lose. ShopApp is not a backup service. A shop admin can compile everything it has recorded into a file to download, in the app or at accounts.shopapp.biz.
  • A downloaded file is yours to look after. It holds your shop's whole trading history and the usernames of its people, in plain spreadsheets with no password on them. Where you keep it and who you give it to are up to you.
  • A download is a copy for you to keep. It cannot be loaded back into ShopApp. The file waits 48 hours to be fetched and is then deleted, and you can compile another.
  • Check your stock and your cash against ShopApp regularly. Where the two disagree, trust the count in your hand.
  • Choose carefully who you add to your shop and what you let them do. What they enter, change or take is between you and them.

9Your online store

A shop admin can turn on an online store: a page on the web, at an address under shopapp.biz that the shop chooses, where anyone can see the items the shop lists and send the shop an order on WhatsApp. It is off until the admin turns it on, and the admin can turn it off at any time.

  • What you put on it is public. The store's name, its description, its WhatsApp number, its address and map pin if you add them, and the name, price, pictures and description of every item you list can be seen by anyone on the internet, and anyone can message you on that number. You choose what to list, item by item or everything in stock, and you are responsible for what is shown.
  • Nothing else leaves your shop. Your sales, your stock levels, your costs, your books and your people are never shown. An item says only whether it is in stock.
  • An order is a request, not a sale. The customer sends it to you on WhatsApp, with a link. Opening the link in ShopApp puts the items on the counter, and you record the sale as you would any other, at the price you agree. We take no payment and are not a party to the sale.
  • We keep an order on our servers for 30 days so its link opens. It holds the items and the total and nothing about the customer. WhatsApp carries who they are, under its own terms.
  • List only what you may lawfully sell, at the price you will honour. Your description must be your own words about your own goods.
  • We may take a store off the web at any time if it breaks these terms, the law, or puts other shops or the public at risk, and tell you why in the app. The shop itself carries on as before.

10Your pictures

Every picture you add must be your own: a photo you took, or one whose owner has said you may use it. A picture copied from the internet, a catalogue, a supplier's page or another shop belongs to someone else unless they gave you that permission. The app reminds you of this each time you pick one from your phone.

You let us store, copy, resize and show every picture you add, as far as it takes to run ShopApp and, if you turn it on, your online store. We do not check whose a picture is.

We are not responsible for a picture that is not yours. If someone claims one of your pictures is theirs, that is between you and them. We may take the picture down, or take your store off the web, and tell you why in the app. If their claim costs us anything, "You cover us" applies.

11Using ShopApp lawfully

Use ShopApp only for a lawful business and in a lawful way. You are responsible for keeping to every law that applies to your shop, including tax, licensing, consumer, currency and employment law.

You must not:

  • use ShopApp to record, hide or help with anything illegal, including stolen or banned goods, fraud, tax evasion or money laundering
  • get into, or try to get into, a shop, a profile or a part of ShopApp that is not yours
  • copy, take apart, reverse engineer, resell or rent out ShopApp
  • overload, scrape, probe or interfere with our servers
  • put other people's personal details, such as a customer's name, phone number or ID number, into item names or notes
  • upload a picture that is unlawful, or that is not yours to use (see "Your pictures")
  • list on your online store anything you may not lawfully sell, or words, prices or pictures that mislead

We are not a party to any sale between you and your customers, and we do not check what you sell or how. We are not responsible for what you do with ShopApp. We may give information to the police, a court or a regulator when the law requires it.

12Our right to refuse, hold or close

We may refuse to open a shop, refuse a payment or a renewal, put a shop on hold, make it read only, or close a shop or a profile, at any time and for any reason we think necessary. We do not have to give the reason.

  • If we close a paid-up shop and it is not because of something you did, we refund every full month you have paid for and not yet started. That refund is all we owe you for closing it.
  • If we close or hold a shop because you broke these terms, broke the law, or put ShopApp or other shops at risk, there is no refund.
  • We pay a refund the way you paid us, where we can.

When a shop is closed, the right to use ShopApp for that shop ends and we may delete its records. Where we reasonably can, we leave you time to download your data first. We do not owe you that time when the shop was closed for breaking these terms or the law.

13Keeping your profile secure

We take care of what we hold. Passwords, codes and sign-in sessions are stored in a scrambled form that cannot be read back. Each shop's records are kept apart from every other shop's. Phones talk to our servers over an encrypted connection.

No system is perfectly secure, and we do not promise that ShopApp can never be broken into, fail or lose data.

Your password is the only lock on your profile. We hold no email address or phone number for you, so we have no other way to check that it is really you. Anyone who has your username and password is you, as far as ShopApp can tell. So you must do these things:

  • Set a strong password. It must be at least 8 characters, longer is better, and it should not be a name, a date, your username or your shop's name.
  • Use a password you use nowhere else.
  • Never give your password or your code to anyone, including the people you work with and anyone who says they are from ShopApp. We never ask for it.
  • Change your password at once if you think someone knows it, in the app or at accounts.shopapp.biz. Changing it signs your profile out everywhere.
  • Put a screen lock on every phone that runs ShopApp, and keep the phone and the app up to date.
  • Sign out wherever it is risky. Always sign out on a computer or phone that is not yours or that other people use, such as an internet cafe, a borrowed phone or a shared computer, and before you lend, sell, repair or give away a phone. On a phone, let it sync first, because signing out clears anything that has not synced.
  • Do not sign in on a device or over a connection you do not trust.
  • If a phone is lost or stolen, change your password from another device straight away. That signs the lost phone out. The records already on that phone stay on it, behind its screen lock.
  • If you run the shop, give each person their own profile with only what they need, and remove anyone who leaves.

Your side of security is yours. A loss that comes from a shared, weak or reused password, a code passed to the wrong person, a profile left signed in where others can reach it, a phone that is unlocked, lost, stolen, rooted or infected, someone you added to your shop, or any other carelessness on your side, is your responsibility and not ours.

14No warranty

ShopApp is provided as it is and as it is available. As far as the law allows, we make no promise, spoken, written or implied, that ShopApp:

  • will always be available, or will work without faults, delays or interruptions
  • will work on every phone, or keep working on a phone after a software update
  • will keep, sync or give back every record
  • produces figures that are correct, complete or fit for any purpose, including tax, lending or the sale of a business
  • will keep any feature it has today

We may change, add or remove features. We may also stop offering ShopApp altogether, and if we do, we refund every full month you have paid for and not yet started.

15Limit of our liability

As far as the law allows, we are not liable for:

  • records that are lost, deleted, corrupted, wrong, late to sync or never synced, whatever the cause
  • lost sales, profit, stock, cash, customers, goodwill or opportunity
  • decisions you made using ShopApp's figures
  • theft, fraud or mistakes by the people in your shop or by anyone using your profile
  • your phone, your network, your data bundle, EcoCash, your bank, WhatsApp, Google, Apple or anything else we do not run
  • time when ShopApp is not available, including for maintenance, power cuts, network failures or anything else outside our control
  • a downloaded file of your data once it has left our servers, including who gets to see it
  • any indirect or knock-on loss

If we are found liable to you for anything, the most we will owe you in total, for everything put together, is what your shop paid us in the 12 months before the thing you are claiming for happened.

Nothing in these terms takes away a right the law says cannot be taken away, or limits our liability for fraud, for harm we cause on purpose or through gross negligence, or for anything else the law does not let us limit. Where the law does not allow part of this section, the rest of it still applies.

16You cover us

If someone makes a claim against us because of how you or the people in your shop used ShopApp, what you entered or uploaded, a law you broke or a term here you broke, you will pay what that claim costs us, including reasonable legal costs.

17How long this lasts

There is no long-term contract. This agreement lasts while your shop is paid up. When that ends, neither of us owes the other a renewal.

  • You can stop at any time by letting your paid-up period run out, or by deleting your shop. Either way, what you have paid is not refunded.
  • We can decline to renew at any time.
  • Nothing here makes you and us partners, employer and employee, or each other's agent.
  • A ShopApp agent helps you get set up. They cannot change these terms or make promises for us.
  • These sections still apply after the agreement ends: "What ShopApp is, and is not", "Refunds", "Your records are your job", "Your pictures", "No warranty", "Limit of our liability", "You cover us" and "Law and disputes".

18Who owns what

The records you enter belong to your shop. You let us store, copy and process them as far as it takes to run ShopApp. That includes the totals our staff see, and looking into your records when you ask us to or when we have to look to sort out something you raised with us. The privacy policy describes both.

ShopApp itself, meaning the apps, the website, the name, the logo, the design and the code, belongs to us. While your shop is paid up, you may install and use the app for that shop. That permission is yours alone, cannot be passed on, and ends when the agreement ends.

If you send us an idea or a suggestion, we may use it without owing you anything.

19Changes to these terms

We may change these terms. The new terms go on this page with a new date, and they apply from that date. If you keep using ShopApp after that, you have accepted them. If you do not accept them, stop using ShopApp.

We have no email address or phone number for you, so this page is where changes are announced. Look at it from time to time.

20Law and disputes

These terms are governed by the law of Zimbabwe, and the courts of Zimbabwe decide any dispute about them.

Talk to us first. Most things can be settled with a message, and we ask for 30 days to try before anyone goes to court.

  • These terms, the privacy policy, and the price and free period we publish for new shops are the whole agreement between you and us about ShopApp. They take the place of anything said or written before. If anything else on this website, in the app or said by an agent disagrees with them, these terms win.
  • If a court finds that part of these terms cannot be enforced, that part is cut back as little as it takes and the rest stands.
  • If we do not enforce a term at once, we can still enforce it later.
  • You may not pass this agreement to someone else without our say. We may pass it to whoever takes over ShopApp.
